Job Summary

We are currently seeking an Administrative Operations Assistant for our NYC office. In this role, you will directly support the NY Head Office, E-commerce and Retail Operations Team.

Key Responsibilities include (but are not limited to):

• Administrative Support : Provide daily administrative assistance to both office and retail operations teams, ensuring efficient internal processes and cross-departmental coordination.
• General Office Administration : Execute tasks such as data entry (Excel, Google Sheets), support customer service functions, assist with billing and logistics, liaise with vendors for procurement, and help maintain overall office functionality.
• E-commerce Operations Assistance : Support initiatives such as product launch preparation, stock and supply transfers, regular audits of inventory movement, and maintenance of organized systems to streamline online operations.
• Retail Operations Collaboration : Partner with the Retail Operations team to ensure timely merchandise replenishment and stock availability across all store locations.
• Cross-Department Liaison : Act as a communication bridge between the office and retail teams, promoting collaboration and optimizing workflows to enhance overall performance.
• Documentation & Communication : Prepare clear, professional internal communications and documentation—including emails, invoices, and reports—for cross-functional use.

Qualifications

• Minimum 2–3 years of experience in administrative or operations roles.
• Strong verbal and written communication skills.
• Proficient in Microsoft Word, Excel, and Google Sheets/Docs/Slides, with the ability to quickly learn and apply new technologies.
• Excellent organizational and prioritization skills with a high attention to detail.
• Proven ability to manage multiple tasks, meet deadlines, and respond effectively in time-sensitive situations.
• Adaptable to changing circumstances while maintaining accuracy and timeliness
• Physical ability to stand, bend, and lift or carry up to 20 pounds as needed.
• Knowledge of Shopify is a plus
