Job Description

Our Partner, US Hydrovac is looking for a Division Coordinator. The Division Coordinator supports the daily operations of the division by managing crew and equipment scheduling, monitoring project progress, assisting with safety accountability, and reporting on key performance metrics. This role is primarily office-based, with limited field presence to support operations, reinforce accountability, and support customer relationships.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Employees may be asked to perform tasks as needed that are not described below.

  • Support daily operations by dispatching and scheduling crews and equipment, ensuring scheduling, job tracking, and paperwork are accurate and timely.
  • Facilitate communication by providing clear and consistent information between crews, supervisors/managers, and office staff.
  • Serve as a customer point of contact for job sites, addressing issues and ensuring customer needs are met.
  • Provide safety support by assisting with occasional safety audits on job sites, documenting findings as needed, and reporting any violations to the Division Supervisor.
  • Track project progress through spreadsheets and reporting tools, ensuring information is accurate and up to date.
  • Generate and maintain reports on daily field performance metrics.
  • Assist the Division Supervisor with various job-related tasks as needed to ensure operational efficiency and alignment with project goals.

SKILLS AND CHARACTERISTICS

  • Strong organizational and time-management skills.
  • Ability to communicate clearly and hold others accountable.
  • Flexible and adaptable; works effectively in a fast-paced environment.
  • Proficiency with technology and basic reporting tools (Google Suite, Microsoft Office, CRM).
  • Knowledge of construction or excavation industry practices is a plus.
  • Keeps a calm and steady approach during challenging situations.
  • Excellent verbal and written communication skills; comfortable speaking on the phone frequently with team members, customers, and field staff.
  • Coachable, open-minded, and receptive to feedback.
  • Forward-thinking with the ability to anticipate challenges and propose solutions.

QUALIFICATIONS

  • Prior experience in dispatching, scheduling, or coordinating field operations preferred.
  • Physical ability to be on-site in field environments and construction sites.
  • Valid driver’s license and ability to meet company driver safety standards.
  • Must pass a motor vehicle report background check.
  • Must pass a criminal background check and pre-employment drug screening.

POSITION TYPE AND EXPECTED HOURS OF WORK

This is a full-time position, scheduled for at least 40 working hours per week, Monday through Friday. Frequent early morning, evening, and weekend work may be required as job duties demand. Regular and consistent attendance is required. The Division Coordinator role is primarily office-based, with occasional fieldwork.
