Job Description

Vaco is hiring an Operations Assistant to support our Retail client. This is a contract opportunity onsite in their Brandenton, FL office 5 days a week.


Overview:
This role will report into the Sr. Facilities Manager. Will help with administrative support, Accounts Recievable, and invoicing support for someone out on FMLA.



Compensation: $21-$25/hour

On-Site: 5 days/week (Bradenton, FL)

Duration: 3 months



MUST HAVE:
Excel + Spreadsheet experience
someone with knowledge of invoices and reconciliation of invoices



Duties and Responsibilities

  • Receive maintenance calls and dispatch work orders to vendors.
  • Review Work orders in the Peruse system and dispatch work orders to vendors.
  • Call stores to review the status of work orders.
  • Close work orders that are completed once the invoice is received.
  • Other tasks as directed by the supervisor.
  • Review invoices in Oracle
  • Code invoices onto spreadsheets and closeout work orders
  • Maintain department inbox

QUALIFICATIONS:

  • High School degree
  • Related work experience
  • Experience processing invoices and utilizing MS Excel for spreadsheets
  • Possesses strong interpersonal skills and communicate effectively by phone
  • Strong verbal and written communication skills
  • Ability to multi-task and meet deadlines
  • Proficiency in Microsoft Outlook, Word, and Excel
  • Good organizational skills and attention to detail
  • Thrive in a team environment
