About Us: Austin Plastic Surgeon is a dynamic leading plastic surgery practice with three convenient locations in Austin and San Antonio. We specialize in both plastic surgery and aesthetics, offering a broad range of high-quality services to help our patients look and feel their best. We are currently seeking a highly skilled and experienced Practice Manager to oversee the daily operations of our three clinics. Position Overview: The Practice Manager will be responsible for managing the overall operations of all three Austin Plastic Surgeon locations. This leadership role requires a dynamic, detail-oriented individual with extensive experience in practice management, healthcare operations, and team leadership. The Practice Manager will be responsible for ensuring the efficient running of the clinics, enhancing patient experience, optimizing staff performance, managing financial operations, and ensuring compliance with healthcare regulations. This position will require 75% weekly travel between all three clinics. Key Responsibilities: # Practice Operations Management: Oversee the day-to-day operations of the three clinic locations, ensuring operational efficiency, patient satisfaction, and compliance with industry standards. Develop and implement processes to streamline workflows, improve patient care, and maximize operational performance. Manage patient scheduling, office workflows, and ensure proper management of patient flow across all locations. # Staff Management and Development: Manage and supervise the department leads to motivate a diverse team of front office staff, medical assistants, and other administrative personnel. Oversee the training and provide guidance, and performance management to ensure high standards of patient care and staff performance. Conduct regular staff meetings to communicate goals, address concerns, and promote a positive work culture. Handle staffing requirements, including recruitment, onboarding, scheduling, and performance evaluations. # Financial Management: Oversee the financial performance of the practice, including managing budgets, financial reporting, and monitoring expenses. Ensure accurate billing for patient procedures, ensuring timely collections and management of patient accounts. Collaborate with Sales teams to optimize revenue cycle management and identify opportunities for financial improvement. # Patient Experience and Satisfaction: Ensure a high level of customer service by addressing patient concerns, managing inquiries, and ensuring prompt follow-up. Oversee the patient intake and consultation process, ensuring a seamless experience from appointment scheduling to post-procedure follow-up. Implement and measure patient satisfaction surveys, address feedback, and create strategies to improve the overall patient experience. # Regulatory Compliance and Quality Control: Ensure the practice complies with all healthcare regulations, including HIPAA, OSHA, and other federal and state requirements. Maintain accurate medical records and patient files in accordance with legal and ethical standards. Oversee the implementation of infection control protocols and other safety measures to ensure the well-being of patients and staff. # Marketing and Business Development: Work with the marketing team to develop and execute strategies to promote the practice and grow its patient base. Oversee digital marketing efforts, social media presence, and community outreach programs to increase visibility and patient engagement. Identify opportunities for business expansion and collaborate with the surgical team on developing new services. # Technology and Systems Management: Manage and ensure the proper use of practice management software, CRM, EHR, and other technological tools. Stay updated on technological advancements that could improve operational efficiency and patient care. Oversee training of staff on new software systems or changes to existing systems to maintain streamlined operations. Qualifications: Bachelor’s degree in Healthcare Administration, Business Administration, or a related field (required). Minimum of 5 years of experience in healthcare management, with at least 3 years in a leadership role in a medical or surgical practice. Previous experience in plastic surgery or aesthetic healthcare management preferred. Strong understanding of medical office operations, including scheduling, billing, coding, and insurance processes. Demonstrated ability to lead and motivate a diverse team, while fostering a positive and supportive work environment. Excellent organizational, time management, and multitasking skills. Proficient in practice management software and Electronic Health Records (EHR) systems. Strong knowledge of healthcare compliance regulations, including HIPAA and OSHA standards. Exceptional communication and interpersonal skills, with the ability to work effectively with patients, staff, and external partners. Financial acumen and experience with budgeting, financial reporting, and revenue cycle management. Preferred Skills: Experience in managing multi-location healthcare practices or surgery centers. Marketing and business development experience, particularly in the healthcare or aesthetic industry. Knowledge of customer service best practices and patient satisfaction strategies.
