Job Overview

We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will provide essential support in managing office operations, ensuring smooth communication, and delivering excellent customer service. This role requires a proactive individual who can handle multiple tasks efficiently while maintaining a professional demeanor.

 

Responsibilities

Provide Administrative Support

  • Support staff as needed
  • Answer phones and greet visitors
  • Open and distribute daily mail
  • Schedule meetings and maintain calendar
  • Company Directory
  • Coordinate annual membership updates and maintain updated information
  • Prepare correspondence and make copies for distribution
  • Maintain and order miscellaneous meeting and office supplies
  • Coordinate CLE (agenda, requirements and materials)
  • Maintain filing system and files
  • Maintain database and Outlook Committees
  • Facilitate technical support for computers, copiers, server, postage machine and telephones
  • Create and maintain filing systems, both electronic and physical
  • Make travel arrangements as needed
  • Database Maintenance
  • Continually update database and outlook with member contact information and distribution lists.
  • Assist in the preparation of meetings for LICONY
  • Assist LICONY members with meeting registrations
  • Manage copying and collation of materials
  • Obtain speakers and/or guest biographies, where appropriate
  • Prepare nametags and tents for attendees
  • Perform all steps to “close” meeting, including finalize meeting materials (i.e., agenda, roster, emailing electronic materials and travel arrangements)
  • Day on the Hill events: schedule legislative meetings for LICONY members and prepare materials for Annual Day on the Hill Event

Qualifications

  • Associate's degree or equivalent experience
  • 10 years administrative experience required
  • Excellent interpersonal, verbal and writing skills
  • High degree of organizational skills, detail-orientated 
  • Proficient in Microsoft Office suite (Outlook, Teams, Word, Excel, PowerPoint)

Salary: $64,000.00 - $75,000.00 per year
